How QR code ordering works

From the first scan to the plate, every step happens on screens you and your guests already have.

  1. The guest scans the table QR code

    Every table has its own code, so each order arrives with the table name attached. Nobody types a table number or explains where they are sitting.

  2. They build the order

    Guests choose a portion or size, pick extras from your option groups, add a note such as “no onions” and check the cart before sending. Prices come from your menu, including any happy hour that is running.

  3. Your team gets it instantly

    The order lands on the live board with a sound alert, and the kitchen screen shows what to prepare. Staff move it from received to accepted, preparing and served.

  4. The guest follows the status

    The menu page shows the status as it changes. Every order placed from the table adds up on one shared table bill until your team closes it.

What is a QR code ordering system?

A QR code ordering system turns your QR code menu into an order pad in every guest's pocket. Instead of waiting to catch a waiter's eye, guests order when they are ready – the first round, a second coffee or dessert – and the order goes directly to your team.

It doesn't replace hospitality. Your staff still greet guests, recommend dishes and bring the food. What disappears is the walking back and forth to take orders, the handwriting nobody can read and the “we asked for no onions” conversation at the pass.

The difference is biggest at peak times: a full terrace on a summer evening, weekend brunch or a pub on match night. Guests order without waiting, and your waiters spend their time serving and talking to guests.

Dine-in and takeaway from one menu

Dine-in orders come from table codes, so you always know where to bring the food. Turn on takeaway and guests can order from a general menu code – on the window, at the counter or on your website – by leaving their name and phone number.

Variants, extras and notes

Sizes and portions carry their own prices. Option groups handle extras and choices with a minimum and maximum selection, an extra price and their own stock, so a guest can't skip a required choice or pick an extra you've run out of.

Live board and kitchen screen

New orders and requests appear on the live board the moment they are sent – no refreshing. Turn on sound alerts so nobody misses one, and open the kitchen screen on a tablet by the pass. Orders that have been waiting more than 15 minutes are highlighted.

Order status and shared table bill

After ordering, guests see their order under “My orders” and watch it move from received to preparing and served. When friends order from different phones, everything lands on one table bill. Your team closes the bill from the board and the table is ready for the next guests.

Signed webhooks for POS and kitchen systems

Already using a POS or kitchen system? Qdestera sends each event to an address you choose, signed with HMAC so the receiver can verify it came from you. Failed deliveries are retried and you can see the delivery status for each one.

Built-in checks that keep orders clean

An order form on a public web page needs guardrails, and Qdestera applies them on the server for you. Prices are always taken from the menu the guest was shown – branch prices and happy-hour discounts included – never from the phone.

Dishes marked sold out, options without stock and categories outside their serving hours cannot be ordered; the menu shows them greyed out. If a guest taps “Send” twice on a slow connection, the second tap does not create a duplicate order.

Before you switch on table ordering

  • Tidy your options

    Set up sizes, sides and extras as variants and option groups, and mark anything unavailable as sold out.

  • Put the board where it's seen

    Open the live board on a screen your team passes often, and the kitchen screen by the pass. Click the sound button once per shift – browsers only play sound after a click.

  • Name tables the way staff do

    “Terrace 3” beats “Table 17” when your team is carrying plates. Group tables into zones and assign waiters to them.

  • Decide on takeaway

    If you offer pickup, place a general menu code at the counter or window and switch takeaway on.

  • Test the full flow

    Place an order from a table code, move it through the statuses, close the bill – and send a test webhook if you connect a POS.

Do guests need an app to order?

No. Guests scan the table QR code and order in the phone's browser. There is no app to install and no account to create.

Can guests pay through the QR menu?

Payment stays with your staff, as it does today. From the menu, guests can request the bill and say whether they will pay by cash or card.

Is table ordering included in every plan?

Can I take takeaway orders as well?

Yes. Switch on takeaway and guests can order from a general menu code by entering their name and phone number.

How does the kitchen see new orders?

Orders appear in real time on the live board and the kitchen screen, with an optional sound alert. Both run in a browser on any tablet, phone or computer.

Can I connect QR ordering to my POS?

Yes, through signed webhooks for new orders, status changes, service requests and closed bills. Your POS provider or developer receives them and adds them to your system.

What happens if a dish sells out during service?

Switch it to sold out in the dashboard. Guests can no longer order it, and an order that still includes it is rejected so the kitchen isn't surprised.

Can several people at one table order separately?

Yes. Each guest can order from their own phone, and all orders from the table add up on one shared table bill.

Can I use the menu without ordering?

Yes. Ordering, takeaway and waiter calls are separate switches. Many venues start with the menu and add ordering later – even menus in several languages work the same way.
